Convert a bank statement to QBO for QuickBooks Desktop (Web Connect)

How QBO files work, why QuickBooks Desktop rejects some of them (INTU.BID / "financial institution not supported"), and how to create a QBO file from a PDF or CSV statement.

QuickBooks Desktop (Pro, Premier, Enterprise, and Mac) imports bank transactions through Web Connect files with the .qbo extension. A QBO file is an OFX file with one extra tag, INTU.BID, that identifies the bank to Intuit.

Creating a QBO file from a PDF statement

  1. Open Rowledger and drop the PDF (or a scan). Check the reconciliation badge: it should read Reconciled before you export.
  2. Click QBO. Rowledger writes an OFX 1.02 Web Connect file with a unique FITID for every transaction, the statement period, and the closing balance.
  3. In QuickBooks Desktop go to File → Utilities → Import → Web Connect Files, choose the file, and pick the account to import into (or create one).
  4. Accept the transactions in the Bank Feeds Center.

"This financial institution is not supported", or the INTU.BID problem

QuickBooks Desktop validates the bank ID inside the QBO file against Intuit's directory. Files generated outside the bank need a valid ID. Rowledger uses the widely accepted generic ID 3000 by default, which QuickBooks Desktop imports without complaint; QuickBooks may label the account with a generic bank name, which you can rename.

Avoiding duplicates

Every transaction in a Rowledger QBO file has a deterministic FITID built from the date, amount, description and row position, so importing the same statement twice doesn't create duplicates. Overlapping periods from two different statements can still overlap legitimately, and QuickBooks flags those for review.
